Description
The Circus Project is a center for circus education and artist development in Portland, Oregon. We use contemporary circus arts as a catalyst for personal and collective transformation.

The Student Services & Studio Manager will cultivate and nourish relationships with students, manage front desk operations, and manage scheduling of coaches, classes, and the Circus Project’s facilities. This is a full-time, salaried, exempt position.

Pay: $40,000 - $44,000/year for full time salary, depending on experience

Benefits: Health insurance, 22 days flexible paid time off, flexible schedule

Hours: This is a 0.75 - 1.0 FTE exempt position (FTE expectation negotiable). Some weekends and evenings are required for events. This position is a point person for emergencies.

Circus Coaching: Coaching hours are not factored into the salary. Administrative FTE and salary may be adjusted to include coaching if desired and appropriate.

Location: Our administrative team is currently mostly remote. As pandemic restrictions are lifted some work may continue remotely, or occur at the Circus Project offices. Frequent in-person attendance at meetings and events will be required.

RESPONSIBILITIES
Front Desk Management

As the first point of contact for current and potential students, the Front Desk team will cultivate and nourish close relationships with the Circus Project’s community. The Front Desk team are the go-to staff for students and coaches during classes, and the primary face of the Circus Project for students and visitors.

Onboard, schedule, and train staff for reception desk
Recommend and implement new registration policies
The Front Desk Team will:
Greet all customers at the door
Promptly answer or return all phone calls and emails
Track attendance and follow up with students missing more than a few days
Support new students on their first day
Ensure the studio is clean and orderly during classes
Manage class registration and schedule private lessons using Mindbody software
Scheduler

Make and staff the gym schedule each term in a manner that is consistent with budget projection
Keep Google Calendars up to date and accurate with the online and studio class schedules
Find and confirm substitute coaches for in person and online classes
Field and staff all advance notice sub requests
Support coaches with sub needs after the deadline has passed. Cancel difficult-to-staff classes
Support connecting coaches for lesson plans
Lead process for securing last minute subs with support from other Managers and front desk
Be an advocate, resource, and support for coaches and students
Make supply and equipment recommendations
Make general recommendations to the Program Director
Support updating policies related to coaches and classes
Pay attention to whether coaches have the information they need to do their job. Follow up with coaches directly or direct the need to the appropriate Manager or the Program Director.



Mindbody, Stats, and TimecardsCoach Payroll
Pull coach payroll reports from Mindbody monthly
Work with coaches and the Office Manager to resolve payroll discrepancies
Alert Office Manager about any new coaches or unusual time card entries
Track and report enrollment and tuition statistics
Work with Office Manager to keep Mindbody functional for The Circus Project


Other Duties as Needed

The Circus Project is a small, flexible, and evolving, not-for-profit organization. The Student Services and Studio Manager will be expected to share in the tasks needed to make The Circus Project a successful organization, sometimes jumping in to fill a gap that is not part of this job description.

ACCESSIBILITY & WORK ENVIRONMENT
This position requires daily use of a computer. Position requires ability to communicate via written and in-person methods. Fluency in English required.



The ground floor of our indoor studio, including the all-user bathroom, is ADA accessible. The secondary office, storage, and programming spaces are up a flight of stairs and not wheelchair accessible. Workspace accommodations are available, including primarily remote/work from home. This position requires ability to travel to other locations via any reliable transportation means.



Our Outdoor Domes location is not currently ADA accessible.
