Description:

Job Summary

The People’s Orchestra Charity is looking for a forward-thinking and dependable Assistant Orchestra Manager to aid in the programming, engagement and customer care for musicians in our charities’ growing instrumental ensembles.

Job Description
Assistant Orchestra Manager

Location: West Bromwich | Hours: Full-time (37.5 hrs/week)

The People's Orchestra, an award-winning charity based in West Bromwich, is seeking a forward-thinking and reliable Assistant Orchestra Manager to support the programming, engagement, and care of musicians across our growing instrumental ensembles.

We're looking for an organised, proactive, and people-focused individual to help deliver an exciting concert season with our ensembles - including The People's Orchestra, The Rusty Players Orchestras, and The People's Big Band, performing in inspiring venues across the country.

The ideal candidate will be a confident communicator with excellent organisational skills and attention to detail, able to thrive in a fast-paced arts environment. Experience in customer service, events, or front-of-house roles is highly desirable, and while professional music training isn't required, instrumental experience would be an advantage.

As part of our small, dedicated team, you'll provide hands-on support to musicians taking part in weekly rehearsals and a diverse range of performances - from flash mobs and theatre-style concerts to multi-arts collaborations.

Reporting to the Orchestra Manager, you'll help plan and deliver production timelines, manage member and musician enquiries, coordinate rehearsals, and support the promotion and smooth running of events. Above all, you'll play a key role in building a welcoming, creative, and inclusive community for our musicians and conductors.

This full-time position is primarily based at our West Bromwich offices, with a mix of office-based work (four days per week) and two evening rehearsals. Occasional weekend work will be required for concerts and special events.

This is an excellent opportunity for someone with a passion for the arts, strong problem-solving skills, and a desire to make a meaningful difference through music.

Job Requirements
Our required skills and experience for candidates include:

Experience and confidence in working in front of house/communications roles
Experience in an administration role, with specific experience in effective planning, comprehensive organisation and time management.
Keen problem solver, with the ability to resolve tricky situations calmly and responsibly.
The ability to prioritise workload whilst maintaining a strong attention to detail.
Responsive effective communication, written and verbal.
A hands-on and proactive attitude, with an eagerness to learn and get stuck into complex new instrumental events.
A degree or equivalent qualification is desirable. A full UK Driving License is preferable.

Job Responsibilities
Assistant Orchestra Manager - Key Responsibilities:

Concert & Rehearsal Season

Collaborate with Orchestra Manager to plan and deliver the instrumental season.

Coordinate performances from initial concept to final execution.

Manage bookings for rehearsals and venues, liaising with group leaders.

Provide on-site support to ensure smooth operations for members, staff, and freelancers.

Membership, Engagement & Communications

Maintain friendly, responsive communication with members and enquiries.

Prepare rehearsals to provide high-quality experiences for conductors and musicians.

Support recruitment and engagement of new ensemble members.

Maintain accurate records in Salesforce CRM and central event planning systems (training provided).

Overall:

Help foster a welcoming, creative, and collaborative environment across all ensembles and performances.
