General Description:

This position will report to the CEO/Executive Producer and the SSPA General Manager. An employee must have a full working knowledge of the facility, the tent, theatre interior, seats, stage, sound & lights, hospitality, visiting production area, etc. Pre-arrange all logistical requirements for visiting artists with their Production/Tour Managers. Show advance to include, but not limited to, hospitality, sound & lights, staging, transportation, arrival/departure times, security needs, parking needs, merchandising, and safety.

Duties/Responsibilities:

· Maintain daily communication with the CEO/Executive Producer, SSPA General Manager, and any other full-time managers to ensure a seamless performance.

· Order and arrange all hospitality needs including management of any hospitality staff.

· Ensure the execution of all logistical requirements for day of show with regard to transportation, security, and all other special needs.

· Hire and train all necessary staff, including hospitality staff, and lead by example.

· Coordinate all communications between the house crew and touring crew(s).

· Report all accounting matters, including invoices, show recaps, etc. to the Controller.

· Work with the Facility Manager to coordinate tent installation, including managing crew members.

· On tent installation day: Lead by example to make sure the tent is properly installed, electrical installation is complete in theatre, and all aisle lighting, house lights, signage, etc. are properly installed.

· Coordinate with the Facility Manager to make sure all crew are utilized wherever possible. (i.e. security, parking, stagehands, etc)

· Prep equipment and check supplies.

· Ensure all show files are in place and updated daily in FileMaker Pro Show Advance Program.

· All owned and non-owned production gear must be inventoried throughout the season. Weekly inventory reports are required to be sent to the CEO and SSPA General Manager. This report must be created and signed off by the Production Manager and must include reference to broken or missing items.

· Create a schedule that correlates with the artist contracts and check versus artist requirements from previous years.

· Complete advance sheets and wrap up sheets in FileMaker Pro Show Advance Program as details are finalized for each show.

· On show days, arrive at least one-half hour before hospitality or load-in is scheduled for the day (whichever is earlier).

· Make a crew list for the day and determine numbers for load-in, truck, stage, lights, etc.

· Make daily Production Sheets including the run of show and schedule for the day to be distributed via e-mail throughout the company.

· Check that Hospitality is ready and that all arrangements are made and executed regarding transportation, shops, dressing room set-up, etc.

· Work with crew on load-in and assign our crew positions for the day.

· Determine with visiting Production Manager when we can break crew members for lunch or dismiss until show time.

· Review show production times, noise ordinance, curfew, and generator back-up procedure with visiting Production Manager.

· Check with our crew and ensure that sound is ready, lights are being focused, spotlights are in good working order, the stage is revolving correctly, and fall arrestors are in good working condition.

· Make sure stage is running properly during sound check and everything is set for the show.

· During sound check, make sure the caterer is in place and enough meals are on hand as per the advance order.

· After sound check, check with visiting Production and Tour Managers for guest list, crew passes, and/or VIP/after show passes for guests.

· Coordinate with the Facility Manager or Operations Manager if there are any meet and greets.

· Check with the General Manager to see if there are any additional pre-show or after-show guests.

· Deliver lists and passes to Box Office for will call.

· Give out any necessary crew passes.

· Find the head of security and introduce them to the visiting Production Manager and/or touring security personnel for a security meeting.

· Make sure any marketing announcements are made and videos are displayed on the tent.

· Ensure that the busses and backstage door are secure.

· Communicate with the artists or touring personnel to make sure the show runs on time.

· Double check that security is in place before the artist exits hospitality.

· Monitor sound levels throughout the performance. Try to stay at 96dbA and inform the General Manager if this is an issue.

· Check with visiting Production to see how they want to handle after show food.

· Brief the crew and manage load-out.

· Coordinate with the Operations Manager and ensure that at least one of you is the last person to leave the venue.

Qualifications:

· Ability to work cooperatively and effectively with a wide variety of people including management and peers to effectively solve problems

· Awareness of public safety and security

· Ability to address and handle customer concerns courteously and respectfully

· Reliable, responsible, and dependable

Physical Demands/ Working Environment:

· Must be available for “ALL” show dates in the Season, from April through mid-September

· Able to lift 50 pounds

· Prolonged periods of standing, bending, walking,

· Ability to work outside in varying temperatures, fast-paced environment and often loud

· Reliable transportation to and from work

Cape Cod Melody Tent in Hyannis, MA and the South Shore Music Circus in Cohasset, MA, are sister venues, each with a 2300 seating capacity for all-ages. Our venues are seasonal and are tented outdoor theaters. We have been presenting national touring live music, children’s theater, and comedy performances continuously for over 72 years.
