Description:Job Description / DutiesPosition The Drama Production Coordinator is a key member of the Production team for the Drama Department, supporting communication and scheduling tasks across all production aspects. This position interfaces with a wide variety of constituents including students, faculty, staff, and rental clients. The Drama Production Coordinator serves as the central point of contact and planning for all Drama Production and Drama Event related activities. Drama produces a Mainstage Season (usually of 4 productions per school year) and a Bleviss Laboratory Theatre Season (4 productions per school year). Several in-house classroom projects/productions are given technical support such as Drama 457, MFA Directing projects in Studios, BFA Acting class projects (Chekhov, Shakespeare, and Contemporary) and two extracurricular projects: ABBEDAM and New Works Festival. Duties Leads pre-rehearsal coordination and communication with all production and creative teams for all department productions. Continuous support throughout the production process through production meetings, daily check-ins with shops, coordinating projects between shops, and ensuring practicum students know the daily schedule for stage and shops. Coordinate communication between technical team, shops, creative team, and principal instructors to ensure all production elements are being implemented effectively and within the associated timelines. Work directly with the associated venue Technical Director to develop individual production schedules within the department calendar. Ensuring appropriate distribution and communication of such schedules once created or updated. Schedule regular production meetings for BLT and Studio productions. Ensuring inclusion of appropriate staff and production/creative team members. Lead meetings as required and distribute notes for production meetings. Coordinates and supports scheduling of all internal/external backstage support personnel for Drama Productions. Interface with Venue Operations Manager to maintain the casual hire crew roster, ensuring adequate staffing support is available within established competency requirements to support department events and rental operations. Collaborate with FSO’s, Production Staff and ADM Prod Ops to ensure tracking of production related expenses and provide details for reconciliation. Actualizes solutions from and works collaboratively with the ADM Prod Ops to support upcoming and ongoing production needs to ensure adequate levels of support and communication across the Drama Department. Qualifications / Required Skills Minimum Qualifications BFA or BA in Drama or Technical Theatre or equivalent formal training is required. Minimum 4-6 years of Theatrical Production Management or similar supervisory role involving management and area leadership. Experience with scheduling tools and calendaring resources is required. Excellent communication skills (written and verbal) and attention to detail. Demonstrated ability to manage a range of production activities and demands on a day-to-day basis and ability to prioritize to meet deliverables. Ability to work on own initiative and with minimal supervision and direction. Proven multi-tasking, administrative and time management skills. Flexible schedule including nights and weekends during technical rehearsal periods. Ability to work in low light conditions and around flashing lights and/or theatrical haze or fog. Ability to navigate stairs and access elevated work areas. Reliable means of transportation outside of typical working hours. Willingness to receive CPR/Basic First Aid credentials. Preferred Qualifications Experience with budgeting and financial tracking for production is highly desirable. Experience in a post-secondary institution is desirable but not required. Experience with CAEA agreements and DOT policy is a plus. Familiarity with IATSE agreements and working rules is a plus. Learn more. Working for the Department of Drama The Department of Drama is committed to the training and education of individuals who will provide vision for the future of Canadian theatre. We are home to 4 undergraduate degree programs and 3 graduate degree programs. As part of our mission to educate students we produce a wide variety of performances in several in-house venues every year. Our faculty complement consists of 16 professors, 4 faculty service officers, 4 full-time instructors, 5 technical staff, and various sessional teaching positions. The department is supported by a shared Academic Administrative team and a shared Productions and Operations team. This new role, while deployed to the Drama Department, is part of the Production and Operations office, which supports all three Fine Arts departments: Drama, Art & Design and Music in some form or fashion. The Prod Ops office is a hub for all things Production and is a high-functioning, fast-paced team of dedicated professionals aimed at elevating the means of production in all spaces and finding solutions to whatever challenges come our way.
