About the job
The role of the coordinator is to receive requests for support and mentoring from artists and organizations of cultural diversity, to determine the nature of these requests and to redirect them to the appropriate department (visual arts, arts of stage, technique, promotion and public relations, administration, etc.) or appropriate external resources. This person also plays the role of coach with these artists in order to guide them in their efforts and provide them with sound advice that will help them in their professional development. As part of this support mandate, she (he) will also be in charge of the organization of various information sessions and will take care of administrative tasks related to his / her sector (preparation and management of support budgets,
Tasks:
Engage with artists by providing them with information about Alliance (support program), providing them with advice, guidance and support on an ongoing basis, answering calls regarding support requests, clarifying services offered and verification of the needs of the artist or organization.
Requests for supporting documentation.
Submission to general management, the committee and various advisers or other managers for evaluation.
Assessment of candidate eligibility, pre-selection of candidates
Setting up the subsidy application for the support program
Organization and possible design of training and workshops and / or recruitment of trainers.
With the help of the general management, recruitment of peer reviewers who will constitute the evaluation committee
Preparation, organization and animation of evaluation sessions for support files.
Management of meetings with other internal stakeholders.
Maintain an up-to-date list of all requests received, requests accepted, coaching evaluations and results, etc.
Establish a database with external references to advise and refer candidates, if necessary.
Finding partners for the support program and setting up partnerships, drafting partnership agreements and supporting documents
Establishment of the call for applications, web editing and promotion through social networks, in collaboration with the communications manager
Orientation meetings with all interested artists (individual meetings to discuss avenues of support and professional development), advise and inform artists about the resources existing in the community and to which they can use.
Participate in the drafting of the diagnoses of the artists selected for long-term support.
Write contracts with the artists supported.
Write contracts with external resources and suppliers.
Organize 1 to 2 bilingual information sessions (or 1 in French and 1 in English) per year for artists of diversity and aimed at developing their skills in any field. (themes or subjects to be determined in agreement with the management).
Draw up and monitor the budget for one-off and long-term support activities, in collaboration with management.
Make payment requests to accounting in accordance with budgets established and previously approved by management.
Prepare end-of-activity reports to be submitted to funders.
Keep statistics on the artists supported.
Coordination of shows (Conseil des Arts de Montréal) in collaboration with the Head of performing arts: Links between CAM, MAI, Maisons de la Culture and artists, Signature of contracts with Maisons de la culture and with artists, requests for payment of artists' fees, etc.).
Presence at the activities organized by the MAI and by the artists accompanied outside the MAI (Vernissages, shows, general before the broadcast… etc.).
Organization and coordination of grant application clinics, recruitment of mentors
Monitoring trends in support for artists and accompaniment
One-off interventions at the request of service organizations
Select the artists who will benefit from a residency with the general and artistic direction and the person responsible for residences and rentals.
Provide advice and answer questions from residency candidates with and the person responsible for residences and rentals.
Secretariat, classification and archiving of files related to its sector (according to the method established by the Directorate).
Presence at team meetings.

Requirements / Qualifications
Excellent command of French and English, both oral and written
Experience of at least 2 years in project coordination
Proficiency in MS Office suite software or similar
Good knowledge of multidisciplinary arts
